These Terms & Conditions apply to all bookings for NeuroBuilders™ Social Communication Programme sessions provided by NeuroKind London.

By booking a NeuroBuilders™ programme, the parent or carer confirms that they have read and agreed to these Terms & Conditions.

1. About NeuroBuilders™

NeuroBuilders™ is a structured, child-focused social communication programme designed to support children in developing skills such as communication, cooperation, confidence, interaction, problem-solving and friendship skills through guided group activities.

NeuroBuilders™ is an educational and social communication programme. It is not a clinical therapy service, medical treatment or substitute for professional medical or psychological advice.

2. Who can attend?

NeuroBuilders™ sessions are for children only.

Parents and carers do not normally participate in the session unless this has been specifically agreed with NeuroKind London in advance.

Children must meet the age and suitability requirements stated for the particular NeuroBuilders™ programme being booked.

NeuroKind London reserves the right to discuss a child's needs with a parent or carer before confirming a place to ensure that the programme is appropriate and that the child can be safely and meaningfully supported within the group.

3. Group Sessions

NeuroBuilders™ operates as a weekly group programme.

Children participate alongside other children and are supported to practise social communication and collaborative skills within a structured environment.

Group numbers may be limited to ensure that children receive appropriate support and opportunities to participate.

NeuroKind London may make reasonable adjustments to activities, communication methods, group structure or levels of support where appropriate.

4. Booking and Payment

A place on a NeuroBuilders™ programme is confirmed once the booking has been completed and payment has been received, unless otherwise agreed in writing.

Places are limited. By booking, parents and carers understand that a place has been reserved specifically for their child and may not be available to another child.

Programme fees must be paid in accordance with the payment options shown at the time of booking.

5. Cancellation by the Parent or Carer

Because NeuroBuilders™ operates with limited group places, bookings are treated as confirmed commitments.

Once a booking has been made, payments are non-refundable, subject to any rights the customer may have under applicable consumer law.

This means that refunds will not normally be provided where a child:

is unable to attend a session;
is unwell;
has another commitment;
is on holiday;
decides they no longer wish to attend;
is withdrawn from the programme by their parent or carer; or
is unable to participate in a particular session.

Where appropriate, NeuroKind London may use its discretion to offer an alternative arrangement, but this is not guaranteed.

6. Missed Sessions

If a child is unable to attend a scheduled session, the session will normally be considered used and cannot be carried forward, transferred or exchanged for another session.

Parents and carers should notify NeuroKind London as soon as possible if their child is unable to attend.

7. Illness

Children should not attend a NeuroBuilders™ session if they are unwell or have a contagious illness.

If a child becomes unwell during a session, their parent or carer may be contacted and asked to collect them.

Missing a session due to illness does not normally entitle the customer to a refund or replacement session.

8. Behaviour, Safety and Participation

NeuroKind London aims to provide a welcoming, respectful and supportive environment for every child.

Children are expected to be supported to:

treat other children and practitioners respectfully;
use equipment appropriately;
follow reasonable safety instructions;
respect personal space and boundaries; and
participate in a way that supports the safety and wellbeing of the group.

NeuroBuilders™ is designed to accommodate a range of communication styles, needs and abilities. We recognise that children may communicate and participate differently.

Where a child requires support beyond what can reasonably be provided within the group setting, NeuroKind London will discuss this with the parent or carer.

If a child's behaviour presents a significant and ongoing risk to themselves, another child, a practitioner or the environment, NeuroKind London may need to pause or end their participation following discussion with the parent or carer.

Where NeuroKind London determines that a child cannot safely participate in the programme, any decision will be made with the child's wellbeing and the safety of the wider group in mind.

9. Additional Needs and Information

Parents and carers are responsible for providing accurate and relevant information about their child's needs before the programme begins.

This may include information relating to:

communication;
sensory needs;
emotional regulation;
behaviour;
allergies;
medical needs;
mobility;
learning needs; and
any other information that may affect the child's participation or safety.

Parents and carers should notify NeuroKind London promptly if there is a significant change in their child's needs.

Providing this information helps us make appropriate adjustments and plan sessions safely.

10. Safeguarding

NeuroKind London takes the safety and wellbeing of children seriously.

All safeguarding concerns will be handled in accordance with NeuroKind London's safeguarding procedures and relevant legislation and guidance.

Where there is a safeguarding concern, NeuroKind London may need to share relevant information with appropriate professionals or agencies where this is necessary to protect a child or another person.

11. Collection and Attendance

Parents and carers must ensure that children arrive and are collected at the agreed times.

Children must be collected by an authorised adult unless an alternative arrangement has been agreed in writing in advance.

Parents and carers should notify NeuroKind London if somebody different will be collecting their child.

12. Changes to Sessions

NeuroKind London reserves the right to make reasonable changes to session activities, practitioners, timings, venues or group arrangements where necessary.

Where a significant change is required, parents and carers will be informed as soon as reasonably possible.

13. Cancellation by NeuroKind London

Although every effort will be made to deliver the programme as advertised, circumstances outside our reasonable control may occasionally require a session to be cancelled or rearranged.

If NeuroKind London cancels a session and is unable to provide an alternative session or arrangement, customers will be offered an appropriate refund or alternative in accordance with their legal rights.

14. Photography and Recording

Children will not be photographed or recorded for marketing or promotional purposes without the appropriate parental or carer consent.

Where consent has been provided, photographs or recordings may be used by NeuroKind London for agreed purposes, including promotional materials and social media.

Parents and carers may withdraw marketing image consent at any time.

15. Confidentiality and Information Sharing

Information shared by parents and carers about their child will be treated respectfully and handled in accordance with applicable data protection legislation and NeuroKind London's Privacy Policy.

Information may be shared where this is necessary for safeguarding, legal or professional reasons.

16. Programme Outcomes

NeuroBuilders™ is designed to provide children with opportunities to practise and develop social communication skills.

However, NeuroKind London cannot guarantee a particular outcome or level of progress for an individual child.

Children develop at different rates, and progress may depend on a range of factors including attendance, individual needs, readiness, engagement and opportunities to practise skills outside the sessions.

17. Communication with Parents and Carers

NeuroKind London may communicate with parents and carers regarding:

attendance;
programme information;
changes to sessions;
relevant concerns;
progress and observations; and
recommendations for future support where appropriate.

Any significant concerns about a child's participation will be discussed with the parent or carer wherever possible.

18. Complaints

We welcome feedback and aim to resolve concerns promptly and respectfully.

If you have a concern about a NeuroBuilders™ session or your child's experience, please contact NeuroKind London directly so that we can discuss the matter and work towards an appropriate resolution.

19. Liability

NeuroKind London will take reasonable steps to provide a safe and appropriate environment for children participating in NeuroBuilders™.

Nothing in these Terms & Conditions excludes or limits any liability that cannot legally be excluded or limited.

Parents and carers remain responsible for providing accurate information about their child's needs and for following reasonable instructions relating to attendance, collection and safety.

20. Acceptance of These Terms

By completing a NeuroBuilders™ booking, the parent or carer confirms that:

they have read and understood these Terms & Conditions;
the information provided about their child is accurate to the best of their knowledge;
they understand that NeuroBuilders™ is a group programme;
they understand the programme's cancellation and attendance policy; and
they agree to these Terms & Conditions.
